Dear Albert,

I’m pleased to present you with a revised proposal for the Irvine Young Concert Artists Orchestra’s performance tour of Europe

We now have flights secured for 45 members with Air France as follows:

27JUN: AF 65 LAX-CDG: Depart 3.30pm, Arrive 11.00am
28JUN: AF 1740 CDG-AMS: Depart 1.05pm, Arrive 2.20pm
07JUL: AF 66 CDG-LAX: Depart 10.35am, Arrive 1.05pm

Please note that you must send payment for 45 persons by March 26 otherwise excess seats must be cancelled. After March 26, the cancellation penalty is $100 per seat.

As you will see from the itinerary, this proposal includes your tour manager, airfare, taxes, private deluxe motor coach, accommodations in hotels, breakfast and dinner daily, admissions and entrance fees as outlined, organization and arrangement of 3 performance opportunities plus two community-type events, travel protection including $2500 in medical coverage, and basic gratuities for your tour manager and drivers. Really, the only additional costs to budget for are beverages, lunches, souvenirs, and any individual’s additional free time activities. We like to provide full pricing, so that there are no financial surprises while traveling! Your concert arrangements will be made with your ensemble in mind, and will be appropriate to your level of expertise, size, and repertoire.

The following quotation is based on “Air and Land” from Los Angeles, accommodating the group in hotels.

Please note that these prices are
guaranteed against currency fluctuation, and include all taxes and basic gratuities for your tour manager and driver! Also included are current fuel surcharges and air taxes, which may be subject to increase by the airlines.

  • All concert arrangements include venue rental and allocation, all necessary concert permits, all pre-concert advertisement, and on-site concert assistance
  • Each venue allocation will include pre-concert rehearsal time, where possible
  • Final performance venues will be confirmed based on the size and repertoire of your ensemble.

NOT INCLUDED
  • Shipment of over-sized and/or over-weight instruments aboard the air carrier, beyond the airline’s standard allotment.  Upon receipt of an inventory of instruments, weights, and measures, we can supply an estimate upon request. 

PROGRAM NOTES
  • All hotels will accommodate the group in rooms with private baths.
  • The Group Leader is accommodated in a single room by request, and all assistants traveling under the free trip prorate are automatically upgraded to the Ultimate Protection Plan for the best coverage possible!
The ACIS® tour manager is available to you 24 hours per day. The tour manager stays in the same hotel as the group, and coordinates hotel check-ins, restaurant reservations, and concert venue availability and rehearsal time. These representatives also offer the educational portion of the tour with detailed historical commentary during travel.
  • Local guides are provided for city sightseeing in all major cities.
  • ACIS® has offices overseas in the event of an emergency. In addition, US staff are always on hand to ensure you are receiving a quality travel experience, before, during and after your concert tour. All land arrangements including concert bookings and advertisement are provided directly by ACIS® affiliate office, offering the highest quality services and the very best value to our clients.
ACIS® has the ability to direct bill all participants. A regular invoice will be billed separately to each individual participant. Accounts can also be accessed 24 hours a day on our website and payments can be made on-line with MasterCard and Visa.
As there may be members of the group that require special dietary needs, please make us aware of these requests so we may forewarn tour managers so as to better accommodate cases such as vegetarian diets.
  • All tour funds are protected by an A-Rated $25,000,000 insurance policy. In addition, ACIS®/Encore Tours is a member of USTOA (United States Tour Operators Association)
  • Each ACIS® /Encore Tours journeying performer travels with an automatic $2,500 medical insurance assistance.
  • All participants have the option to augment the basic insurance, doubling the coverage, and providing pre-departure medical cancellation protection. The comprehensive protection plan rates are as follows: Comprehensive Insurance: $15 per person per day, Ultimate Protection Plan: $25 per person per day.
  • Please note that the itinerary is subject to change based on final schedule of performances.

ITINERARY

DAY 1: Sunday June 27, 2010 IN FLIGHT
Depart Los Angeles for your custom 11-day performance tour of Europe! Dinner and breakfast will be served onboard your flight.

DAY 2: Monday June 28, 2010 AMSTERDAM
Welkom in Nederland/Welcome in The Netherlands! Your tour manager will meet you upon arrival in Amsterdam and transfer you to your comfortable, centrally-located hotel. Enjoy a welcome dinner this evening before returning to your hotel for a good night’s sleep! (D)

DAY 3: Tuesday June 29, 2010 AMSTERDAM
This morning, you will have a city tour with a local guide. See the main sights such as the Royal Palace with the Dam Square, Anne Frank House, Wester Church and much more. You will end with a canal boat cruise to get an impression of Amsterdam from the famous canals. Enjoy an afternoon at leisure and dinner in a restaurant this evening. (B,D)

DAY 4: Wednesday June 30, 2010 AMSTERDAM
In the morning, enjoy a visit to the Anne Frank House where she and her family hid before being deported to the Auschwitz concentration camp in 1944. A secret passage camouflaged behind a revolving bookcase leads to the bare rooms where the Frank family lived in hiding. Here, Anne wrote her incredibly moving diary and you will have time to wander and see the numerous documents concerning the war and anti-Semitism. The highlight of today is your first performance! Dinner will be at a local restaurant this evening between your rehearsal and performance. (B,D)

DAY 5: Thursday July 1, 2010 BRUGES
We’ll say “Tot ziens” to The Netherlands this morning and travel south to Belgium
and the wonderful medieval town of Bruges. On arrival, check in to your hotel and enjoy an orientation with your tour manager. Dinner will be together in a restaurant this evening. (B,D)

DAY 6: Friday July 2, 2010 BRUGES
Today, you will have an excursion to the bi-lingual capital of Brussels with its Flemish and French speakers! Visit the market square and the famous statue of `Manneken Pis’ (Little Julian). Your next performance will be today with local musicians. Dinner will be together in a local restaurant. Return to Bruges. (B,D)





DAY 7: Saturday July 3, 2010 BRUGES
This morning, you will have a morning guided walking tour followed by free time for additional sightseeing and shopping. Don’t forget to taste the delicious Belgian chocolates! You will perform again today in conjunction with the ‘SAS’ organization to bring music to the homeless, socially challenged or otherwise less fortunate, adults and children. Dinner will be provided early today at the SAS organization. Enjoy an evening at leisure. (B,D)

DAY 8: Sunday July 4, 2010 PARIS
Paris After breakfast, journey to Paris, capital of France, and known as the City of Light. Paris holds a special place in the heart for all who live or visit here. On arrival, enjoy a guided city tour of the major sights including the Arc de Triomphe, Notre Dame Cathedral, Place de la Concorde, Place Vendome, and the Champs-Elysees and much, much more! Check in and relax in your comfortable, centrally-located hotel before dining this evening in the famous student district of Quartier Latin! (B,D)

DAY 9: Monday July 5, 2010 PARIS
This morning, you will journey out to the Chateau de Versailles, the palatial residence of King Louis XIV, for a visit of the chateau and gardens. In the afternoon, return to Paris and ascend to the second floor of the Eiffel Tower for a magnificent view of the area. Enjoy dinner together in a local bistro. Afterwards, transfer to a local music school and meet with local students. This evening, perform your next concert with local musicians. Enjoy an exchange and return to the hotel. (B,D)

DAY 10: Tuesday July 6, 2010 PARIS
Your morning visit will be to the Louvre, one of the largest museums in the world. Here, you will see the famous Mona Lisa with her mysterious smile that follows you around the room, or perhaps another painting will become your favorite! This afternoon, you will give your final performance in a local community shelter-type setting. This evening visit Montmartre, the artist district where painters like Van Gogh, Renoir, Toulouse Lautrec lived and found their artistic inspiration. See the Place du Tertre (artists square) and magnificent Sacre Coeur with fantastic views of Paris from the steps in front. Enjoy a special farewell dinner together in the Montmartre area. (B,D)

DAY 11: Wednesday July 7, 2010 DEPARTURE
After a final breakfast at your hotel, it’s time for hotel checkout, a last farewell to your tour manager, and your return home!
